1. What is collected
- Account and order details. Name, email, company or event name, chosen region and plan, and the public IP address entered at checkout so the server can allow it.
- Payment details. Cards are entered on Stripe's pages and held by Stripe. ControlRoom stores only the Stripe customer reference and whether a card is on file.
- Service records. Server running time and data transferred, stream sessions (start and end times, bitrate, viewer counts, failures), relay output hours, alerts, and an activity log of actions taken in ControlRoom.
- Return-feed links. The label given to a link and when it was created. Viewers of a link are not asked for any details; their connection address is used only to deliver the video.
- BCComms intercom. Crew names and logins created by the customer live on that customer's dedicated server. Audio is not recorded unless an admin starts a recording.
- Cookies. One session cookie keeps a user signed in. The light or dark theme choice is kept in the browser. No advertising or tracking cookies are used.
2. Why it is used
To run the service the Customer ordered: set up and operate servers and streams, show usage and costs, send alerts and account emails, bill for the service, prevent abuse, and keep the service secure. Information is not sold or used for advertising.
3. Who else handles it
- Amazon Web Services and Fly.io host servers, streams and the ControlRoom service.
- Stripe processes payments and invoices.
- Resend delivers account and order emails.
- Tailscale provides VPN access to servers when used.
- GoDaddy hosts DNS records for show addresses.
- Discord receives order and alert notices for SpeedProd staff only.
- Apple distributes the BCComms iPhone app under its own terms.
4. How long it is kept
- Stream session history: 90 days. Usage records: about 13 months, for billing.
- Return-feed links: removed a week after they expire.
- Account, order and invoice records: as long as the account is active, then as required for tax and accounting.
- A BCComms server and its data are deleted two weeks after the plan ends.
5. Choices and requests
To see, correct or delete personal information, or to close an account, email hello@speedtools.app. Requests are answered within 30 days. Some records must be kept for legal or accounting reasons.
6. Security
Connections use HTTPS, passwords are stored as salted hashes, return-feed links use random tokens that can be revoked, and SRT feeds can be encrypted with a passphrase. No system is perfectly secure; suspected problems should be reported to hello@speedtools.app.
7. Changes
Updates to this policy are posted on this page with a new date. Material changes are also sent to account holders by email.
